Job Title: Aquatics Administration & Facility Coordinator
Salary: $52,000.00 Annually
Hours of Operation: Work hours may vary weekly between 5 AM and 9 PM, Monday through Friday, Saturdays 10 AM to 5 PM (Tentative Hours Operation), and Sundays 1 PM to 6 PM (Tentative Hours of Operation).
Work Hours: Standard work schedule is 40 hours per week. Compensatory time will be awarded for any hours worked in excess of 80 hours within the same pay period. Work hours may vary depending on daily and weekly operational needs, as determined in collaboration with the AAFC and the Director of Parks & Recreation.
Job Summary: The Aquatics Administration & Facility Coordinator (AAFC) is responsible for the daily operations of the aquatic’s facility, scheduling, and programming. This includes, but is not limited to, the establishment of organization of aquatic programs, hiring and scheduling staff and lifeguards, volunteer recruitment, general administrative operations, facility rentals, memberships, managing revenue/expense reports, and preparing and making bank deposits.
Major Job Responsibilities:
Assist with interviews, hires, training, scheduling, and supervising staff, contract labor, and volunteers.
Manage payroll for all aquatic staff and contract labor.
Manage and submit invoices for payment.
Answer questions from participants, parents, the community, and visitors regarding swim programs.
Select, hire, and assign contract instructors for programming needs.
Coordinate aquatic program events (in-house and through outside vendors) to include swim meets, aquatic programs, swim lessons, aquatic fitness classes, aquatic special events, etc.
Create and advertise daily, weekly, and/or monthly program schedules.
General supervision of programs, instructors, lifeguards, and facility staff.
Assist in the coordination, promotion, and implementation of special events and programming.
Implement and develop programming plans for youth, adults, and seniors.
Assist with managing special events, as requested.
Coordinate logistics and facility operations related to programs and events.
Perform administrative duties such as compiling data and preparing reports.
Manage daily revenue/expense reports and cash/check bank deposits.
Represent the department with public and outside groups, organizations, and agencies, and respond to a wide variety of questions, comments, and/or concerns.
Participate in the selection, training, and evaluation of part-time staff and volunteers.
Assist in the budget preparation.
Maintain awareness of new developments and trends in the aquatics field.
Plan, implement, and coordinate a sponsorship program to entice businesses to donate funds, goods, and services.
Promote an atmosphere that stresses a unified team concept and emphasizes the importance of each individual's contribution to the team.
Assist with supervising pool usage sessions.
Be able to serve as a lifeguard pending the absence of scheduled lifeguards or lack of.
Work with coaches and program instructors to keep swimmers and parents informed of schedule changes and any pertinent information.
Attend and manage the facility for swim meets, as necessary and/or instructed.
Provide routine feedback to program participants and parents.
Use or able to learn how to operate various recreation software platforms we utilize (e.g., rec management, website, HyTek, scoring systems, etc.).
Prepare newsletters to inform parents of upcoming swim meets, program opportunities, facility schedules, and special events.
Assist with maintaining a neat, clean, and inviting facility.
Perform other job-related duties as required by Aquatic Management and/or the Director of Parks & Recreation.
Minimum Qualifications Required Education and Experience:
Two-year (AS) or Four-year (BS) degree with a focus in physical education, recreation, sports management, or a related field, a minimum of two-year’s experience in the aquatics field, “or” any equivalent combination of work, education, and field experience, which provides the minimum level of qualifications stated above.
Licenses and Certifications:
Currently possess or have the ability to obtain (paid for by the City), a Certified Pool Operator certification within 6 weeks of employment.
Currently possess or have the ability to obtain (paid for by the City), an American Red Cross First Aid and CPR/AED certification within 6 weeks of employment.
Currently possess or have the ability to obtain (paid for by the City), an American Red Cross Lifeguard Certification.
Valid Class C Driver's License and a satisfactory Motor Vehicle Record. Knowledge, Skills, and Abilities:
Unless approved by the Director of Parks & Recreation, the incumbent cannot be a head coach, assistant coach, or volunteer for any aquatic/swim team organizations or an aquatics program instructor/volunteer outside of the Jefferson Parks & Recreation Department.
Strong writing and verbal communication, organizational, and leadership skills. Strong computer and software operation knowledge and experience.
Demonstrated ability to recruit and retain swimmers.
Ability to demonstrate personal characteristics that will provide appropriate leadership to participants, parents, visitors, staff, and the community.
Plan, coordinate, implement, and evaluate aquatic programs.
Train, supervise, and evaluate personnel, contract labor, and volunteers.
