Program Coordinator
ESSENTIAL FUNCTIONS
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Plans, develops, coordinates, schedules and oversees inclusive athletic and recreation programs for the community, to include tournament play and instructional programs; ensures adherence to safety guidelines, and administrative and operational policies and procedures.
Recruits, recommends for hire, supervises, trains, evaluates and counsels temporary/seasonal employees, contract labor (officials/scorekeepers), volunteers and interns for programs and special events; handles all related concerns, directs work assignments, and evaluates assigned employee performance.
Coordinates volunteer needs, recruitment and training; plans and implements the required coaches’ certification program for volunteer coaches; schedules and coordinates clinic instructors. Ensures parents have completed required orientation and training, and records completion.
Responds to inquiries, issues and complaints from the public, parents, volunteers, coaches, participants and other service providers. Ensures thorough understanding of park and program policies and procedures.
Instructs classes and/or conducts programs when necessary and plans/directs auxiliary programs throughout the department to integrate services. Officiates games as needed.
Solicits program/event feedback; evaluates programs and assesses effectiveness; recommends and/or implements changes to improve programs; reviews program offerings to meet community interests.
Prepares facility for programs and special events by coordinating maintenance, security needs, vendor participation and related concerns. Identifies unsafe conditions and/or needed repairs, and reports/addresses maintenance needs.
Secures, allocates, coordinates and inspects program resources, equipment, facility/field space and/or supplies; supervises issuances and maintenance of supplies and equipment; implements inventory controls and procedures; inspects and orders equipment/supplies pursuant to departmental procedures; receives, reviews and processes invoices from vendors and service providers.
Manages assigned program budgets, monitors revenues and expenditures; prepares annual budget proposal for programs and assists with the development of the overall recreation budget proposal.
Maintains program operational and administrative records and databases; prepares report and maintains statistical information; prepares and/or reviews incident and accident reports; completes other correspondence and documents as needed.
Responds to emergency situations; provides needed assistance; maintains calm and responsive demeanor during emergencies; and prepares incident/injury reports.
Coordinates, reviews and distributes program publicity, promotional information and/or seasonal staff openings.
Assists with website and registration software preparation and management. Utilizes software for team management and communication.
Provides support to other Program Coordinators and Facility Supervisors. Assists with the management of daily operations of the facility; enforces facility rules and regulations to users and renters; may perform the duties of the Facility Supervisor in her/his absence.
Establishes effective working relationships with other departments, associations, community groups, sponsors, businesses, media and others; provides customer service and assistance to patrons, participants, and the general public; resolves sensitive issues and problems; and provides information regarding programs, policies and services.
Serves as community resource person in programming and special events; may serve as a liaison to user groups and other outside agencies as needed.
Maintains a current knowledge and awareness of principles, practices, regulations and procedures of the Park and Recreation department; maintains an awareness of new trends and advances in the profession.
Adheres to all county Safety Policies and Procedures; utilizes precautionary safety equipment and monitors work environment to ensure safety of employees, program participants, park patrons and other individuals.
REQUIRED KNOWLEDGE & ABILITIES
• Athletic sports knowledge of rules, equipment, playing facilities, etc.
• Proficient in the principles involved in recreation programming.
• Competent in league and tournament scheduling.
• Ability to ensure a safe playing environment.
• Adept in supervising staff, volunteers, participants and the general public.
• Able to work independently under general supervision.
• Capable of working flexible hours including evenings, nights, weekends and holidays.
• Knowledgeable of first aid and CPR principles.
REQUISITE SKILLS
• Operates computer, possesses software knowledge (Word, Excel, PowerPoint, registration software, website management, other databases), and ensures proper spelling and grammar.
• Strong organizational skills.
• Effective verbal and written communication skills.
ADDITIONAL FUNCTIONS
• Operates a motor vehicle to conduct work activities.
• Provides assistance to other employees or departments as needed.
• Performs other related duties as required.
MINIMUM QUALIFICATIONS
Bachelor’s degree in Recreation Administration, Sports Management, or closely related field; supplemented by one (1) to two (2) years previous experience and/or training that includes recreational program administration and athletic field preparation; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Must be flexible to work an inconsistent schedule involving evening, weekend and/or holiday work. Must be certified in CPR and First Aid or complete certification within the first 6 months of hire. Previous supervisory experience preferred. Must possess and maintain a valid Georgia driver’s license.
