Job Title: Program Coordinator Department: Parks and Recreation Pay Grade: 13 (Non-Exempt) Major Function and Purpose: The Program Coordinator is a full-time FLSA non-exempt position responsible for executing all designated duties for the City of Temple Parks, Recreation and Leisure Department. Under the guidance of the Parks, Recreation, and Leisure Director, the Program Coordinator coordinates recreation and leisure programs. This includes planning, promoting, organizing, and managing the City Park properties, including the City Museum. The Program Coordinator shall be committed to the City's mission, vision, and values and demonstrate ethical conduct, community stewardship, proactive initiative, and responsive service. This role's essential traits are project management and coordination, strong technical skills, connector and collaborator, resource management, advanced decision-making, personal accountability, and responsibility. Supervision Received: Work is performed under the general supervision of the Parks, Recreation and Leisure Director. Essential Job Functions: • Coordinate, design, schedule, and ensure operational efficiency for all Parks, Recreation, and Leisure Programs, including classes, camps, and special events at all facilities. • Assist in identifying recreation and leisure needs within the City of Temple and developing programs to support the community. • Maintain the quality of program content by identifying best practices, growing trends, and current events. • Plan and outline yearly long and short-term program goals for the department and community. • Prepare, review, and maintain various reports and documents related to programs and activities. This includes financial reports detailing program revenues, expenses, and participant counts. • Partner with community groups, local officials, contractors, and vendors to enhance program offerings and manage facility operations. • Develop relationships with schools, businesses, associations, and community groups. • Recruit and manage volunteers for program and event support. • Co-supervise part-time seasonal employees. This includes supporting training, meetings, and recommending disciplinary actions. • Assist with after-hours events, registration sign-ups, concessions, and program activities as requested. • Perform clerical and secretarial duties, including drafting correspondence (letters, emails, and memos), maintaining calendars, scheduling appointments and meetings, organizing filing systems for SOPs and public records, and managing rentals. • Implement safety protocols to ensure the safety of program participants and staff. Enforce departmental policies related to park, recreation, and leisure initiatives. • Oversee the creation and development of signage, marketing, and promotional materials. Ensure that all materials align with departmental standards and effectively communicate program information. • Create, coordinate, and co-manage content publication across social media platforms to promote programs and engage with the community. • Submit budget recommendations and monitor expenditures to ensure adherence to budgetary constraints. • Assist in administrating all facility-related tasks, including but not limited to maintenance requests, obtaining quotes, pricing, purchasing supplies, managing vendor agreements, stocking, quality and inventory control, and equipment repair. • Maintains Park records and Museum artifacts. • Design and develop lobby and museum displays/information for events and exhibitions. • Attend workshops and network with professionals to enhance programs and career development. • Inform the Director of any relevant issues or information. • Follow oral and written instructions and procedures and compile information based on general instructions. • Thorough knowledge of department functions and purpose and the ability to communicate that mission to the public and reflect in work. • Responds to customer inquiries by researching and gathering data as needed. • Respond to inquiries, complaints, and requests for information from citizens, employees, department heads, etc. via telephone, in person, or by mail, ensuring adherence to established City and Park policies and procedures. • Promote and maintain high morale and enthusiasm for the City of Temple. • Performs related duties/work as required. Desired Education and Knowledge: • High School Diploma/GED • AED/CPR/First Aid certified or get certified within six months • Microsoft Office: Excel, PowerPoint, and Word; and records management. • Canva or other design programs and Social Media management • Valid Georgia Driver's License Desired Skills and Abilities • Proven experience in coordinating recreation and leisure programs and office management. • Proficient in relevant software applications. • Maintain and prepare office records and reports accurately. • Proficient knowledge in marketing, advertising, and content creation for material promotion and event planning. • Skilled in oral and written communication and public and interpersonal relations. • Strong organizational skills with the ability to effectively manage multiple priorities and deadlines. • Demonstrate ability to meet quality service expectations and delivery dates through effective time management. • Willingness to work flexible hours, including evenings and weekends, to accommodate program schedules and events. • Exercise independent judgment by following established policies and practices. • Deal tactfully and courteously with the public and fellow employees. • Ability to problem-solve internal and external issues. • Edit, proofread, and meet standards for quality reports, forms, and internally and externally distributed materials. • Ability to lift and move equipment for event setup and facility maintenance. (ADA) MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS Physical Requirements: Must be physically able to operate various maintenance equipment, concession equipment, motor vehicles, and automated office machines, which include computers, printers, telephones, etc. Must be able to use body members to work, move, or carry objects or materials. Must be able to exert up to twenty pounds of force occasionally and/or up to ten pounds frequently. Interpersonal Communication: This requires the ability to speak and/or signal people to convey or exchange information. It also includes giving assignments and/or directions to co-workers or assistants. Intelligence: Requires the ability to learn and understand relatively complex principles and techniques, make independent judgments without supervision, and acquire knowledge of primary occupation topics. Verbal Aptitude: The ability to record and deliver information, explain procedures, and follow verbal and written instructions. Motor Coordination: Requires the ability to coordinate hands and eyes using automated office equipment and operate motor vehicles. Interpersonal Temperament: This requires the ability to deal with people beyond giving and receiving instructions. The worker needs to relate to people in situations involving more than giving or receiving instructions. The worker must also be adaptable to performing under minimal stress when confronted with an emergency. Physical Communication: Requires the ability to talk and hear: (talking- expressing or exchanging ideas employing spoken words.) (Hearing- perceiving natures of sounds by ear.)
